How a Dubai property firm stopped losing weekend viewing enquiries

The problem

A Dubai property firm generated plenty of interest from portals and ads. The leak was the gap between an enquiry landing and someone replying to it.

A prospect messages about a listing on a Saturday evening. They've enquired on four other properties in the same hour. The agent who replies first — with a viewing slot — usually wins the conversation. This firm's agents were with clients, driving, or off for the weekend, so replies came hours later, by which point the prospect had already booked viewings elsewhere.

What was built

When an enquiry landed unanswered, it replied within seconds: confirmed which property, asked the qualifying questions the firm set — budget, timeline, buyer or renter — and offered real viewing slots straight from the agents' calendars. It booked the slot, set the reminder, and pinged the agent for hot, ready-to-move prospects while logging everything else, scored, in the CRM.

Anything sensitive — price negotiation beyond set ranges, a complaint, anyone asking for a person — was paused and handed back. Every message and qualifying question was approved by the firm before going live. Live in three days.

The result

First-reply time dropped from hours to under 90 seconds, including evenings and weekends when most portal enquiries actually arrive.

Viewing enquiries that used to sit unread until Monday were being qualified and booked while the prospect was still browsing. Agents walked into weeks with viewings already on the calendar instead of a backlog of cold leads to chase.

The honest limit: it doesn't replace an agent's judgment on a live negotiation or a nuanced client — those escalate on purpose. It recovers the enquiries that were leaking purely on response time, which for a portal-fed firm is a large share of them.
