AI automation and AI agents for small teams, built in n8n

I build AI agents and automation that answer, qualify and book leads while you are busy: missed-call recovery on WhatsApp, voice agents that pick up the phone, and outbound systems that find and email the right people. It runs on n8n and OpenAI and connects the tools you already pay for, end to end.

Interactive 3D model of an automation. A source screen is connected by pipes to four step blocks and a light travels along the pipes as each step runs. The buttons above switch between four workflows, and the log below lists each step with sample data.

The 3D model needs WebGL. The log below shows each step.

Underneath

What I build under the surface.

Each of these can be a first project on its own. Most teams start with the one closest to lost money: calls nobody picked up, or leads nobody answered.

twilio → whatsapp → calendly

Missed-call recovery

A missed call becomes a booked appointment: the caller gets a WhatsApp reply, picks an open slot and is booked.

whatsapp cloud api

WhatsApp and SMS agents

Leads answered, qualified and booked while you are busy.

vapi

Voice agents

Inbound calls picked up and routed with Vapi, with a summary sent to whoever needs it.

n8n + openai

n8n workflows

The tools you already pay for, connected end to end, with OpenAI on the steps that need reading or writing.

clay, apollo, instantly

Outbound systems

Lead lists, enrichment and cold email with Clay, Apollo and Instantly.

Compliance checks

WhatsApp Compliance Guard checks WhatsApp outreach against messaging rules before it goes out.

AI agents

AI agents that take the next step themselves.

An agent is the part of an automation that makes a judgment call. It reads the WhatsApp message or picks up the phone, figures out what the person wants, and moves it forward without waiting for you. I build them in n8n with OpenAI, and add Vapi when the agent has to talk on the phone. They plug into the calendar and CRM you already have.

  1. Reads the message or answers the callWhatsApp Cloud API, Vapi
  2. Works out what the person needsOpenAI inside n8n
  3. Asks your qualifying questionsWhatsApp, Vapi
  4. Books, routes or logs the leadCalendly, Airtable, your CRM
  5. Sends your team a summarySlack, WhatsApp

Example: RepFuel

One flow covers the whole loop.

Missed call, WhatsApp reply, intent tagged, slots offered, lead logged and a Slack ping to the owner when it books. The Harbor Dental conversation in the demo above is sample data.

Calculator

What are missed leads costing you?

Every number here is yours to set, including how many of the missed ones you think you could win back. The maths is simple on purpose, so you can check it.

With your numbers

$0

a month from about 0 won-back jobs. That's $0 a year.

A build from USD 2,000 would be covered in about 0 days.

How it works: unanswered leads × the share you win back × job value. These are your assumptions, not a promise from me. The exact build price comes after the first call.

The honest comparison

Why not just buy a tool, or hire someone?

Whatever the job is, you have five other options. Here is how they actually compare over a 90 day window, including the one where I lose.

Where I lose, honestly. If the work needs someone to read a room, calm somebody down, or make a call that has real consequences if it goes wrong, hire a person. This escalates that to you rather than guessing at it, and that is deliberate. It is built for the repetitive work that is quietly costing you, not the work that needs you.

On the numbers: build and response times are from systems I have shipped. Hiring, agency and tool figures are typical market ranges, not quotes. Check them against what you have actually been offered.

Process

From "we do this by hand" to running on its own.

  1. Find the leak

A 15-minute call to find where time or leads slip through.

  2. Design the surface

Clickable screens you approve before anything gets built.

  3. Wire it underneath

n8n, AI and your current tools, connected and tested with real data.

  4. Hand it over

A walkthrough video, written docs and a support window after launch.

FAQ

AI automation questions

Including what happens when something goes wrong.

still stuck? just ask me

What is an AI agent, and can you build one for my business?

Yes. A normal workflow follows fixed rules. An agent reads what the person actually wrote or said, decides what they need and picks the next step, like offering times or handing the lead to you. RealCommand AI is one I built: it answers calls after hours, asks the qualifying questions and sends the agent a WhatsApp summary.

How does missed-call recovery work?

When a call is missed, the caller gets a WhatsApp reply. OpenAI inside n8n reads their answer and tags what they need, open slots are offered from your calendar, the booking is logged in Airtable and you get a Slack ping. That is how RepFuel works.

Do I need to replace my tools?

No. I connect the tools you already pay for, end to end, and only suggest something new when a step can't be done with what you have.

Can you add AI to the tools we already use?

Usually, yes. n8n sits between your tools and calls OpenAI only where something has to be read or written, like sorting replies or drafting a summary. Your calendar, CRM, Airtable and Slack stay as they are.

Can an AI answer my phone?

Yes. Voice agents built with Vapi pick up inbound calls, ask your qualifying questions and route or log the lead. RealCommand AI is one: an AI receptionist that answers inbound calls, qualifies the caller and logs every lead for the team.

Can you set up cold outreach?

I build the outbound system: lead lists, enrichment and cold email with Clay, Apollo and Instantly. WhatsApp Compliance Guard, an n8n system I built, checks WhatsApp outreach against messaging rules before it goes out.

How do you test an automation?

Each workflow is connected to your current tools and tested with real data before handover. You get a walkthrough video and written docs, and a support window after launch.

What does an automation cost?

Builds start from USD 2,000, with a fixed quote after the first call. Care from USD 400/month covers monitoring, fixes for anything I built, small changes and a monthly check-in call.

Which task would you
never do by hand again?

Tell me on a 15-minute call. I'll sketch the wiring live, and you keep the sketch either way.
